Minutes of meeting held on Sunday, the 12th JULY, 2009
1. The maintenance charges for the month of July is fixed as Rs.1500 /- and accepted by all. All members / tenants are requested to pay this amount by 19th of July to the security Mr. Nirmal or directly to Mr.Shailender, B – 3.
2. It is decided to keep the monthly maintenance charge as Rs. 1500 / - for further period unless otherwise decided and it shall be paid by 1st week of every month.
3. As decided, Mr. Shailender, B – 3, ( one of the three selected in March’ 09 ) will now take responsibility of maintaining accounts henceforth. Mr. Raveendranath, A – 0, may handover concerned books duly updated and balance cash to Mr. Shailender. However, it should be clearly understood that it will be the collective responsibility to over see the maintenance of basic amenities as of today and extend any help if he needs.
4. There will be no monthly meeting to decide monthly maintenance charges. Mr. Shailender is to decide the maintenance charge. If any extra charges are required, it will be informed by a notice that will be displayed as is now till a notice board is arranged.
5. Copy of the MOM is kept with the Security person. All are requested to see it and sign on the reverse side.
6. Members / tenants, who have arrears to be paid, are requested to pay the same along with this month’s maintenance charges.
7. Members / Tenants may visit website rankresidency.blogspot.com to view details of accounts, MOM etc. Please inform us your e-mail ID for alerts about changes / updates.
8. If any meeting is called for in the middle, that will be to discuss pending problems with the Builder. Last meeting on 7th June, the Builder has committed to try to complete the project by the end of June’ 09 & in worst circumstances by July’09. Let us discuss with him the probable completion date and progress of the project.
9. Pending monthly charges for Jan.’09 & Feb.’09 due to be paid by us to the Builder and monthly maintenance charges to be recovered from the Builder till today for the unsold flats since Jan.’09 are to be settled after discussing with him.

Income & Expense Statement
It gives me immense pleasure to inform that our apartments income & expense statement in excel format has been placed in our google group, which will be updated on monthly basis. Regarding Meeting held on 21 June 2009
There were very less members turned out for the meeting held on Sunday 21st June and who ever present all expressed their interest in going for registering our association, which will be taken as one of the items to be considered in the monthly meeting to be held on Sunday, July 5th 2009. All are requested to attend atleast this time.

Minutes of meeting held on Sunday, the 7th JUNE, 2009.

2. Rate of 6000 litres capacity water tanker to be fixed @ Rs. 240 Only.
3. Fixing of monthly maintenance charges based on 2/3 bed room Flats may be taken up in the next monthly meeting to be held on Sunday, 5th July’09 as 3 bed room flat owners are not represented considerably.
4. It is decided that all members / tenants to meet on alternate Sundays to review the progress / status for some more time. Next meeting on 21.06.09.
5. All members / tenants to see MOM for June’09 after a day or two that will be kept with the security man & sign on the reverse and a copy of the same is pasted at the entrance on the side wall of the lift.
6. After the occupation, members have to pay full monthly charges for all common amenities. There will be no exception whatsoever. In addition, members to share any other expenses that may arise time to time as we have not yet settled the dues to the builder. This is applicable w.e.f. 01.01.09.
7. To ensure collection of monthly charges in time, it is proposed to consider charging a late fee penalty. However this proposal is deferred and to be taken up for discussion on the next monthly meeting to be held on 5th July’09 as suggested by few members.

Khata Transfer - What and How?
All of us who have purchased an Apartment in Rank Residency, know that Khata Transfer is an important to-do to complete the set of official property documents. Khata Transfer is also important for paying the property tax and avoid incurring any fine for negligence. This article tries to compile more knowledge about Khata transfer in the context of Apartment bought from the builder.
What is a Khata / Khatha?
A Khata is an account of assessment of a property, recording details about the property such as size, location, built up area and so on for the purpose of payment of property tax. It is also a kind of identification of the person who is primarily liable for payment of property tax. It is one of the required documents in case you require a building license, trade license or loan from banks or any other financial institutions. (courtesy: propmart.com)

BBMP (Bruhat Bangalore Mahanagara Palike) publishes a Khata Transfer Quick Reference guide at this link:
A friend who has pursued the Khata Transfer process successfully in the month of Dec-2008, reports the below:
The Khata Application form and the Khata Application Acknowledgment form can be downloaded from this link. Alternately, it can be purchased for Rs.20/- from the Citizen Service Centers.
Below are the property documents which must be attached along with the filled application form:
(i) Notarized Sale Deed
(ii) Paid up Betterment/Improvement Charges Receipt (collect this from the builder)
(iii) Latest paid up Property Tax Receipt (it is possible that you have been paying property tax after registration of your flat. In this case, you need two receipts (a) the latest receipt paid by you (b) the last receipt paid by the builder before registration)
(iv) Encumbrance Certificate (get this from the place where Sale Deed Registration took place)
(v) Occupancy Certificate (collect this from the builder)
(vi) Conversion Certificate (collect this from the builder)
In the Khata Transfer Reference BBMP mandates document number (i) - (iii) to be attached to the application form. However, certain panchayat offices require rest of the documents as well. It is advised that you collect all of them so as to have a complete set of your property documents.
The official Admin fee to be paid is 2% of the Stamp Duty payable by DD in favour of Commissioner, BBMP.
After the application is submitted you need to wait till a Khata Transfer Order arrives. You are informed once the order arrives, after which you need to make the payment of the property tax due and apply for the Khata Certificate and the Khata Extract.
Officially, the whole process should take 20 working days.

Memorandum Of Association - Rank Residency - Draft
A draft version of MOA has been placed under downloads section, which is mandatory for association formation (Someone’s MOA taken for reference). Basically it contains rules & regulations to be followed by in-mates and so on. I request all you to have a look and come up with any suggestions you have.

Hi All,
